Privacy Policy

This policy covers our marketing website (g3ai.io), our sales interactions, and the logged-in G3 AI platform used by our customers and their Licensed Users. When we process personal data on behalf of a customer (for example, data our customer uploads about their employees or members), we act as a processor and the customer is the controller. Those activities are governed by our Data Processing Addendum.

• Identity & contact: name, work email, organization, job title, phone number.
• Account: username, hashed password, MFA factors, session tokens, role, and audit history of your actions in the Platform.
• Content you submit: prompts, documents, files, and other inputs you upload; outputs generated for your account.
• Usage telemetry: IP address, device and browser information, pages viewed, features used, timestamps, and diagnostic logs.
• Billing: billing contact, billing address, and payment status. Card numbers are handled by our payment processor and never stored on our servers.
• Communications: messages you send us and support tickets you open.

• To provide the Platform — performance of a contract.
• To secure the Platform — legitimate interest in protecting our systems and users.
• To bill and collect — performance of a contract and legal obligation.
• To communicate — legitimate interest and, where required, consent.
• To comply with law — legal obligation.
• To improve the Platform — legitimate interest, using aggregated or de-identified data.

We do not use Customer Content (data you or your Licensed Users submit to the Platform) to train or fine-tune general-purpose models offered to other customers, without your prior written consent. We may use aggregated, de-identified usage statistics to improve reliability, performance, and safety.

• Subprocessors that help us run the Platform (hosting, database, email, analytics, payment processing, and AI inference). A current list is available on request at privacy@g3ai.io.
• Professional advisors — auditors, lawyers, accountants — bound by confidentiality.
• Authorities — where required by law, subpoena, or to protect rights, property, or safety.
• Successors in the event of a merger, acquisition, or reorganization, subject to protections at least as protective as this policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Our production environment is hosted in the United States. If you access the Platform from outside the U.S., your information will be transferred to and processed in the U.S. Where required, we rely on Standard Contractual Clauses or another lawful transfer mechanism.

We retain personal information for as long as your account is active, and afterwards for the period needed to comply with legal obligations, resolve disputes, and enforce our agreements. Customer Content is deleted or returned within thirty (30) days of the termination of the applicable order, unless a longer retention period is required by law or agreed in writing.

Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal information, to object to certain processing, and to lodge a complaint with a supervisory authority. To exercise any of these rights, email privacy@g3ai.io. We will respond within the time frame required by applicable law and will not discriminate against you for exercising a right.

We use a small number of first-party cookies and privacy-respecting analytics to keep you signed in, remember preferences, and understand aggregate use of the site. We do not use third-party advertising cookies. You can control cookies through your browser settings.

The Platform is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us and we will delete it.

We use encryption in transit and at rest, least-privilege access, MFA on administrative systems, and continuous monitoring. See the Security & Compliance page for details.
